A guide to leveraged submittals

Managing technical submittals is key for driving performance and quality on a complex build and keeps trade contractors and vendors on track for deliverables whilst also providing design teams with an expected workload. EIDA goes a few steps further with the Leveraged Submittal Module.

Our clients use EIDA across multiple projects, spanning various phases such as design, construction and commissioning, as well as ongoing operations. There can be a significant amount of overlap and crossover on previously approved submittals that are relevant for the current project. Teams have frequently encountered inefficiencies caused by reviewing identical materials for different trades or projects.

This repetitive process leads to unnecessary delays, increased administrative workloads, and higher project costs. That’s why we developed the Leveraged Submittal Module – a transformative solution that has proven highly effective for project teams, significantly streamlining the submittal review process and reducing turnaround time. 

By allowing contractors and construction managers (CMs) to reference and reuse approved submittals, the module streamlines the process, eliminates redundant reviews, utilises the appropriate associated workflows and helps with efficient project management.

 

How it works

Once submittals are approved in EIDA, they can be pushed to a ‘Leverage Submittal Library.’ This library allows other trades to reference these approved submittals, cutting down on the review process. A symbol on the submittal screen marks leveraged submittals, displaying all relevant details from the original approval.

 

Use Cases

The module has been effectively applied in the following scenarios:

  1. Leveraging from a previous project on a different campus:  Contractors are able to leverage approved submittals from a project on another campus, avoiding the need to resubmit identical materials for review.
  2. Leveraging from a previous project on the same/current campus: Teams working on successive phases of a project can reuse previously approved submittals, maintaining consistency and speeding up the review process.
  3. One contractor leveraging another contractor’s approved submittals on the same project: On a multi-trade project, contractors can leverage each other’s approved submittals, fostering collaboration and minimising redundant work.

Aside from the obvious advantages of having a library of approved submittals, here are some of the other key benefits:

  • Time savings: The CM or appropriate user can quickly verify that the specification matches that of the original leveraged submittal, expediting the approval process.
  • Cost efficiency: Reducing redundant reviews lowers administrative and resource costs.
  • Enhanced communication: The system notifies the CM or appropriate user of the trade’s intent to leverage an existing submittal, improving transparency.
  • Consistency: Leveraging ensures uniform specifications across trades and project phases.
